Sourcing hotel linen as an independent operator is harder than it should be. The big distributors quote you minimums built for 500-room chains. The retail brands don't carry hospitality grades. The mills won't take your call without a freight forwarder. The four supplier types — and which one fits you
Hospitality linen comes from four supplier types, each with different pricing, minimums, and quality control. Understanding which type matches your scale saves you 30–45% on every order.

The specs that actually matter (and the ones marketing invented)
Hospitality linen has hundreds of specifications. Most don't matter. These five are the only ones that predict guest experience and operational cost: fiber origin, GSM (for terry), thread count (with weave context), weave structure, and stitch construction. Everything else is either derived from these or pure marketing.
Fiber origin — where the cotton actually comes from
Long-staple Egyptian and Pima cotton produce softer, more durable fabric than short-staple cotton from cheaper sources. The fiber length determines how the yarn can be spun — longer fibers create smoother, stronger yarns with less pilling. Pakistani and Turkish long-staple cotton are comparable to Egyptian and often better-priced. Avoid anything labeled 'cotton blend' for sheets — polyester pills, traps odors, and degrades faster than 100% cotton in commercial laundering.
GSM (grams per square meter) for towels
GSM is the single most important spec for hospitality towels because it predicts absorbency, dry time, and lifespan. The hospitality industry standard range is 400–800 GSM. Most boutique hotels land at 700 GSM — heavy enough to feel premium, light enough to dry between turnovers, durable enough to outlast 200+ wash cycles. Thread count — read it with weave context
Thread count counts the number of threads per square inch in woven fabric (sheets, duvet covers, pillowcases). It only matters when you also know the weave: a 200 thread count sateen feels denser and warmer than a 200 thread count percale because of how the threads are interlaced. Hospitality sheets generally land between 173–300 thread count — enough for durability and softness without the marketing inflation of 'thread count' numbers above 600 (which are typically multi-ply marketing tricks). Weave structure — percale vs sateen vs twill
Percale (one-over-one-under) feels crisp and cool, dries faster, breathes better. Sateen (four-over-one) feels smoother and warmer with a subtle sheen. Twill (diagonal weave) is rarely used in modern hospitality sheets. For warm-climate properties or high-turnover STRs, percale is usually the better operational and guest experience choice. For cool-climate boutique hotels and luxury resorts, sateen tends to win.
Stitch construction — the spec nobody talks about
Double-stitched dobby borders on towels prevent fraying through 200+ industrial wash cycles. Hemmed corners on fitted sheets keep elastic from snapping. Concealed button plackets on duvet covers stay closed through commercial laundering. These small construction details determine whether a $14 duvet cover lasts 2 years or 5 years — and most spec sheets don't include them. Always ask.
Minimum order quantities — what's actually reasonable
Distributor MOQs of 500 units per SKU are designed for hotel chains and exclude virtually every independent operator. Mill-direct MOQs are usually 24 units (one case) — that's enough for the mill to run a production batch efficiently while staying accessible to operators with 1–50 properties. If a supplier quotes you 500+ unit minimums and you have under 100 keys, you're talking to the wrong supplier.
Lead times and how to plan for them
In-stock hospitality items typically ship in 3 weeks from mill-direct suppliers. Custom logo embroidery and custom dye orders add 5–7 weeks. Plan your initial kit purchase 5–6 weeks before opening or your soft-launch date, and your replacement orders 4 weeks before you hit your par stock minimum. If a supplier promises in-stock delivery in under 2 weeks, ask about their warehouse audit standards — fast delivery sometimes means quality control corner-cutting.
Payment terms — what to negotiate
NET-30 payment terms are standard for verified trade accounts in hospitality. Mill-direct suppliers generally require 50% prepayment on first orders, with NET-30 available after 1–2 successful orders. ACH transfer is preferred to credit card to avoid 2.9% payment processing fees. Never accept a supplier who demands 100% prepayment indefinitely — it signals weak inventory or cash flow issues.
